Project Coordinator
About the role
- Coordinate projects from order handover through manufacturing, testing, dispatch, installation, and final project closure.
- Act as a key coordination point between customers and internal teams throughout the project lifecycle.
- Maintain regular communication with customers regarding project requirements, documentation, approvals, schedules, and progress updates.
- Coordinate simultaneously with Design, Procurement, Production, Assembly, Quality, Service, and other internal teams to ensure smooth project execution.
- Track project milestones, timelines, dependencies, and pending actions and ensure timely follow-ups with all stakeholders.
- Coordinate customer approvals for technical documents, layouts, drawings, samples, and other project requirements.
- Organize and coordinate Factory Acceptance Tests (FAT), customer visits, dispatch readiness, installation planning, and project handover activities.
- Maintain accurate project documentation, meeting minutes, action trackers, approval records, and customer communication.
- Identify potential delays, coordination gaps, and pending dependencies and escalate them to the respective stakeholders in a timely manner.
- Ensure clear communication and effective coordination between customers, internal teams, and external stakeholders throughout project execution.
Requirements
- 0-3 years of experience in project coordination, project execution, engineering coordination, or a similar role.
- Experience in industrial machinery, capital equipment, engineering, automation, or manufacturing is preferred.
- Strong communication, coordination, and interpersonal skills.
- Ability to understand technical requirements, engineering drawings, project schedules, and customer specifications.
- Excellent organizational and follow-up abilities with strong attention to detail.
- Ability to manage multiple projects, priorities, and stakeholders simultaneously.
- Good working knowledge of MS Office, particularly Excel, Word, and PowerPoint.
- Comfortable working with ERP, project tracking, or documentation management systems.
- Willingness to take ownership, work cross-functionally, and proactively drive pending actions to closure.
- Strong problem-solving ability and the ability to identify and escalate project risks in a timely manner.
- Customer-oriented approach with the ability to communicate professionally and manage expectations throughout the project lifecycle.
